1. How to find this portal on a computer

You can also get here without typing the address:
- From the WolfiePIMS website: wolfiepims.com/assist-migration.html — open that page on the computer, then click through to the portal.
- From WolfieAssist on the iPad: Settings → Migration → Send Portal Link to Your Computer… (or Open Portal with This Code… after you start a job). AirDrop, Mail, or Messages the link to the computer that has your files.
- Search your email for a message you sent yourself with the subject “WolfieAssist migration portal.”
Do the upload and download work on the desktop computer. The iPad is for starting the job, reviewing the package, taking a backup, and applying.
2. Before you start
- Install or update WolfieAssist from the App Store on the iPad.
- Know which files your old system produced (CSV, TSV, ZIP, or a named format below).
- Plan a few minutes for a Mode S backup on the iPad before any destructive import.
- Have a network connection on both the iPad and the computer.
3. Import into WolfieAssist
- On the iPad: Settings → Migration → Start Import Job (get pairing code)…
- Send the portal link to your computer (Share), or open migrate.wolfiepims.net and type the 8-character code.
- Choose the source format that matches your files.
- Select one or more files and upload them.
- For generic CSV/TSV packs: map each file to a WolfieAssist table and confirm the column mapping (see next section), then click Convert.
- When the portal shows Ready, return to the iPad. Preview the package, complete a backup if asked, then Apply.
Apply can wipe existing Mode S user data first. That is the safe path for a first import into an empty or trial install. Confirm carefully if the iPad already has live clinic data.
4. Column mapping
After upload, each source file becomes a card. For every card:
- Pick the WolfieAssist table (Clients, Patients, Invoices, and so on).
- Match each source column to an Assist field. Headers that look familiar (for example “Phone”, “Customer”, “Pet Name”) auto-match when possible.
- Leave unmatched columns on skip unless you need them — skipped columns do not create problem rows on the iPad.
- Click Convert when every file has a table and at least one mapped column.
Named formats (QuickBooks customers, Manager.io, inventory spreadsheet, and similar) pre-fill mapping when that preset is ready. You can still override any column before Convert.
5. Export from WolfieAssist
- On the iPad: Settings → Migration → Build Multi-File Pack and Upload…
- Send or open the portal link on your computer and enter the pairing code.
- When the pack is ready, click Download pack and save the ZIP locally.
- Delete the local ZIP when you are finished if it contains patient data.
Prefer to keep everything on the iPad? Use Save Multi-File Pack to Files… instead of the cloud path.
6. Supported formats

.zip) - Named vendor exports — La Vega / 4D folders, IDEXX Neo JSON, QuickBooks Desktop customers, Manager.io customers, inventory and vendor spreadsheets, descriptors, phone labels, and Shepherd termination CSV dumps (generic mapping until a fixed Shepherd fingerprint exists).
If your old system is not listed, export CSV or TSV from it and use the generic multi-file path with mapping.
7. Problem records
Rows that cannot convert cleanly (missing required fields, type mismatches, orphan references) appear in WolfieAssist under Settings → Migration → problem editor. Fix them side by side with the original source fields, then re-apply as needed.
8. Privacy and data retention
- Uploads are stored encrypted in Cloudflare R2 for at most 48 hours.
- WolfieAssist deletes the server copy when it acknowledges Apply.
- The pairing code is the only capability that binds an upload to a device. It expires in about 15 minutes.
- This portal does not use third-party analytics.
9. If something goes wrong
- Code not found / expired — start a new job on the iPad and use the new code promptly.
- Mapping not submitted — finish the mapping cards and click Convert before expecting a download.
- Conversion failed — check delimiter and header-row settings, or try the generic CSV path with explicit mapping.
- Need help — email support@wolfiepims.com with the job status text (not the raw patient files).
